Time Clock Settings

 1. Go to the “Settings” page

2. Choose “Time Clock” Tab

3. “Max minutes to check in before shift start” This controls when a shift will be flagged as “Punched In Early.”

  • Example: If this is set to 20 minutes, an employee scheduled to work at 7:00 am can punch in as early as 6:40 am and it will not be marked as “Punched In Early.” If they punch in at 6:39 am or earlier it will be marked as “Punched In Early.”

4. “Max minutes to check in after shift start” This controls when a shift will be flagged as “Punched In Late.

  • Example: If this is set to 7 minutes, an employee scheduled to work at 7:00 am can punch in as late as 7:07 am and it will not be marked as “Punched In Late.” If they punch in at 7:08 am or later it will be marked as “Punched In Late.”

5. “Max minutes to check out before shift end” This controls when a shift will be marked as “Punched Out Early.”

  • Example: If this is set to 3 minutes, an employee scheduled to leave at 3:00 pm can punch out as early as 2:57 pm and it will not be marked “Punched Out Early.” IF they punch out at 2:56 pm or earlier it will be marked as “Punched Out Early.”

6. “Max minutes to check out after shift end” This controls when a shift will be marked as “Punched Out Late.”

  • Example: If this is set to 7 minutes, an employee scheduled to leave at 3:00 pm can punch out as late as 3:07 pm and it will not be marked “Punched Out Late.” If they punch out at 3:08 pm or later, it will be marked as “Punched Out Late.”

7. “Hours before check in will be considered abandoned” This controls when a shift will alert an Admin that the employee forgot to punch out.

  • Example: If this is set to 24 hours, the Admin will be notified that an employee has not punched out 24 hours after the punched in. If the employee punched in at 7:00 am on Monday, the punch will be flagged as an issue at 7:00 am on Tuesday.

8. “Maximum Meters From Facility Location” This controls the size of the geofence. If you do not want a geofence activated, set this to 0 and it will allow employees to punch in from anywhere.

9. “Punch In Without Location” If this is checked, it will not allow employees to punch in unless they allow the EasyShifts app to use their location. This prevents them from punching into their shift if they do not share their location.

  • Example: If this is OFF, employees do not need to share their location so even if a geofence is ON, they can punch in form outside the geofence because we do not know their location.

  • Example: If this is ON, employees must share their location in order to punch in which ensures they will punch in from inside the designated geofence.

10. “Allow retroactive Time Clock Punch Requests” This allows employees to submit a punch for a past shift they forgot to punch in to.

  • Example: If this is OFF and an employee forgets to punch into a shift, the admin must manually create the punch for the employee.

  • Example: If this is ON and an employee forgets to punch into a shift, he can submit a time clock punch for an admin to review. The admin simply reviews it and approves or denies the punch.

11. “Automatically Associate Shifts to Punches” This setting automatically links time clock punches to shifts.

  • Example: If this is OFF and an employee punches into a Job Title or Department (rather than a shift) an Admin will need to manually match the punch to a shift. Only when. a punch is connected to a shift can EasyShifts analyze if there were any issue such as punching in early or late.

  • Example: If this setting is ON, ad an employee punches into a Job Title or Department (rather than a shift) EasyShifts automatically connects the punch to a shift macthing the dates and times of the punch.

12. “Punch In Without Shift Enabled” This controls whether you allow employees to punch into job titles or departments. If turned on, you can also specify which Job Titles are eligible on the “Settings > Job titles” page.

  • Example: If this is OFF, employees can only punch in to assigned shifts.

  • Example: If this is ON, employees can punch into a job title or a department if they do not have an assigned shift.
